Booking a room for a birthday: what to tell them in advance
Most of what goes wrong at a birthday in a hotel has nothing to do with the decorating and everything to do with the booking: you couldn't get in early enough, you didn't know whether you could bring things in, or a charge appeared that you hadn't allowed for. This piece sets out exactly what to say when you call, and what to know before you do.
Rates and how they are calculated

Three things that are often misunderstood:
- Part-hours of 15 minutes round up to a full hour.
- The total for one hourly stay never exceeds that category's full-day rate — so a party running longer than planned doesn't inflate the bill.
- Check in after midnight and you can check out as late as 14:00 the next day.
The check-in time for setting up — the most important part
Ask about this first, because it differs by booking type:
- Booking by the hour: check in at any point in the day with no surcharge. If you want to be in from 14:00 to lay everything out and they arrive at 19:00, your hours simply start at 14:00.
- Booking overnight: the earliest check-in is 12:00. Before that there is a surcharge of 100,000đ – 150,000đ per hour by room type.
If you need an hour to set up, the cheapest route is usually to book by the hour and start the clock when you walk in, rather than booking overnight and asking to come early.
Charges that can arise
Better said in full now, so there are no surprises at the desk:
- A third guest: 100,000đ on an hourly stay, 250,000đ overnight. House rules cap a room at two people — if you plan to have a couple of friends come up to help decorate and then leave, tell reception at the outset.
- Changing rooms by preference more than 10 minutes after checking in: 250,000đ housekeeping charge. So look carefully at the photographs of each category on the Rooms & Rates page before you commit, rather than deciding when the door opens.
- Late check-out for overnight guests: 100,000đ – 150,000đ per hour. This doesn't apply to hourly stays.
On payment: cash, credit card and bank transfer are accepted. If you have paid a deposit and then cancel, cancelling more than 24 hours before the check-in date is refunded in full; after that it is not.
The hotel's own decoration packages
If you would rather not set it up yourself, there are two:
- 3,000,000đ — lettered balloons, balloons, flowers and candles.
- 4,000,000đ — the same, plus wine and a large fruit platter.
Neither includes the room, and both must be arranged when you book, since the package takes preparation and can't be assembled on the spot.
Bringing things in from outside
You can, and it is much cheaper. House rules only prohibit anything flammable or explosive, anything toxic, and strong-smelling food. Which means:
- Cake, flowers, balloons, gifts: yes.
- LED lights and battery LED candles: yes.
- Real candles: no — that is an open flame.
Still worth telling reception when you book, both so they can help and so they can allocate a suitable room.
Choosing a category
If you want the effect without much decorating, choose a room that already has a focal point:
- Artificial starlit ceiling rooms: T03, 3301, 4002, 1003.
- Birdcage room 3003 and Cinderella room 1001 (with a pumpkin carriage and a red-slipper bathtub) — both at Hotel 2.
- Muse and Myth at the Luxury property — the two highest categories.
- The 33 sqm Couple Bath Room at Hotel 2, or room 1101 (Luxury) and room 602 (Van Phat) — all with a twin bathtub.
- The 50 sqm APARTMENT at Van Phat has a dining table and its own kitchen, which suits a light spread.
Four properties: Luxury, Hotel 1 and Hotel 2 in the Trung Son residential area, Binh Hung commune (right beside District 7, about 10 – 15 minutes from District 1), and Van Phat Hotel at 61 Pham Viet Chanh in District 1.
A one-minute checklist for the call

- The date and which property.
- Your expected check-in time — say clearly if you need to be in early to set up.
- Hourly or daily.
- Which category you want, or describe what you are after and let reception suggest one.
- Whether you are bringing a cake, flowers or decorations.

Finally: bring your ID card or passport. Nothing else is needed — the detail is in what documents you need to check in.
Frequently asked questions
How far ahead should you book for a birthday? Two to three days on a weekday, three to five at the weekend. If you want a twin bathtub or a themed room, call earlier — there are only so many, all year round.
